Back Office Specialist

Work Schedule: Variable shifts between 8:00-15:00 and 15:00-22:00 throughout the week (as required by the sector of employment) always ensuring one day off.

Mode: Initial presence on-site with the possibility of partially remote work after the initial period.

Commitment Duration: 8 to 12 months per year.

Role Description: We are looking for a Front Office Specialist to join our dynamic team. The ideal candidate will be the first point of contact for our guests, ensuring an excellent experience through effective use of phone, email, and OTA messaging. This role requires minimal direct physical interaction with guests, prioritizing digital communication and efficient management of reservations and requests.

Key Responsibilities:

  • Management of communications with guests through phone, email, and OTA messaging.
  • Advanced use of Google Workspace and basic CRM systems, with specific skills in Google spreadsheets.
  • Experience with a hotel PMS, preferably KrossBooking.
  • Management of extranet environments of major OTAs, including configuration of automatic messages and emails.
  • Market entry for promotion and marketing of new accommodation facilities and revision of descriptive texts (in Italian and English) in collaboration with external copywriters.
  • Processing and communication of data to be periodically sent to relevant authorities (municipality, police station, tourist observatory, ISTAT, etc.).

Preferred Characteristics:

  • Age between 30 and 40 years.
  • English proficiency at least C2 in written and spoken forms.
  • Decent digital competence, ability to effectively use Google Workspace and CRM.
  • Strong problem-solving skills and ability to manage critical guest reports.
  • Ability to manage extranet environments of major OTAs. Specific training will be provided at the beginning.
  • Experience or knowledge in managing tourism businesses in the Italian market.
